ZaK F.A.Q. - Privacy policy: how to be compliant?

What is the GDPR?

The GDPR (General Data Protection Regulation) is the European privacy regulation implemented in 2016 and effective from May 2018. The aim is to increase security measures to protect the digital data of citizens and residents of the European Union.

Therefore, if you manage your guests' data, it is your responsibility to ensure its confidentiality. Let's see together what tools Zak offers to help you comply with the GDPR!

1. Privacy link in the Online Reception

Zak allows you to include a link to your privacy policy directly in your Online Reception. You can enter it in the following menu:

This link will be shown during reservation process and the customer must tick the specific box to accept the privacy policy:

2. Privacy link and signature in the Guest Page

In addition to the Online Reception, you can also place the link to your privacy policy in the Guest Page, which is the page where the guest views his reservation summary, fills in the Online Check-in, cancels the reservation, etc. You can also choose whether the guest, after filling in his personal data, should enter his digital signature. You will find both settings in the following menu:

At this point, when you send the guest the link to Online Check-in or when he accesses the Guest Page to view his reservation details, he will find the link to your privacy policy in the "Summary" section:

Instead, in the "Online Check-in" section he can fill in all his data and finally put his digital signature:

The guest signature is automatically recorded on his Registration Card, which can be printed if necessary:

3. Customer anonymization

Finally, to further protect your customers' privacy, Zak allows you to automatically delete their data one year (or more) after their stay.
There are 3 levels of anonymization to choose from:
  • Soft: all customer data except name, surname and country will be deleted
  • Medium: only surname, country and first name letter will be preserved
  • Hard: all data will be deleted

You find this setting in the following menu:
