ZaK App - Kalena: The new calendar for availability and reservations

In this new version of the mobile application, taking the place of the classic planner is Kalena, a much more powerful tool that allows you to check all your availabilities and reservation distribution over the month, wherever you are!

Why did we choose Kalena instead of the planner?
The old planner was not a very comfortable tool to have in a small mobile device, as it forced you to scroll the page both vertically and horizontally to see availability and reservations.


Kalena meets this need with a detailed calendar, decorated specifically to show the availability and presence of reservations and closings at your property.

Moreover, on Kalena it will be possible to create new reservations, and move incoming reservations to another available room.


To access this new tool, from the main screen of the app, click in the bottom right on the "More" section and select "Kalena."



You are greeted by the new interface, which immediately shows the current month, and under each day, an icon indicates an approximation of the general availability in the property.


The three symbols that might appear reflect the three possible states of availability:
  • : The property is entirely unoccupied for that day;
  • : On that day some rooms are occupied, and some are free;
  • : There are no spare rooms in the entire property.

Moreover, as you scroll down, there are two sections, one allows you to manage reservations, the other allows you to check room availability in detail.

Going down further, two buttons can be seen:
  • One for selecting the day to be displayed;
  • Another to filter among the available room types.


Reservations Section

In the first section, "Reservations", you can see the reservations occupying each room, and also the rooms remaining vacant:


Following the image as an example, in order:

  1. Blue card: the highlighted icon indicates the maximum number of consecutive nights the room is available for;
  2. White card on the right: Represents an incoming reservation; 
  3. White card in the center: Represents a reservation mid-stay;
  4. White card on the left: Represents an outgoing reservation.

What can be done from here?

By pressing on any blue card, a new reservation can be created on the corresponding room, with today's arrival date.
Alternatively, you can call for the closure of the room:



Whereas, by clicking on any white card of a reservation that is present, an overlay window will appear with various buttons:
  • The option to check in/check out;
  • A link to the reservation detail;
  • An option to change the booked room (available only on an incoming reservation).




Availability Section

The second section, on the other hand, "Availability," shows a summary of the availability of the various room categories.

As in the Reservations section, you can filter day and room types to be displayed.
The tab will show availability for selected categories, with attached the maximum number of consecutive days that at least one physical room within the category is available (up to a maximum of 365 days).

Taking the picture below as a reference:
The "DBL" category shows 2 availabilities for up to 8 consecutive days; By clicking on the category, you can expand the view to see in detail which physical rooms are available and for how long:


And finally, just like on the "Reservations" section, from here you can create a new reservation, once you choose the check-in day you simply select the physical room you are interested in.
