ZaK - Ecuador Invoicing Configuration

This section allows you to issue more documents, not only invoices. It is included in ZaK Finance package, so first you need to activate the package from the link below. You'll get automatically 15 days of free trial!

Once enabled, you can proceed with the configuration from the following section:

Create your Fiscal Position


First, here you need to create a fiscal position. You can select "Ecuador" as a Country Model:



Configure your Fiscal Position


Once created your position, click on the pencil next to it. In this page you'll be able to configure your account invoicing information, which will be used in order to issue and send documents to SRI:



Precisely, you can enter:

- Supplier name: enter the company name.

- RUC: enter your RUC number (Registro Único de Contribuyente). It should be 13 characters max.

- Company Trade Name: enter the company trade name.

- Address: enter the address of the company.

- Taxpayer Regime: select the option corresponding to your taxpayer regime. You can find this information on your "Ficha RUC" under "Régimen".

- Accounting Requirement: select if you are obligated or not to keep accounting records. You can find this information on your "Ficha RUC" under "Obligado a llevar contabilidad".

- Email: enter the email address of the company.

- Phone Number: enter the phone number of the company.

- Website URL: enter the website URL of the company.


In the section below, you can upload your property logo:



The file needs to be in .JPEG/.JPG format.

Once you clicked on "Save", you can upload your Digital Signature as well.



The signature should be in .p12 format. You also need to enter your password and reference name before saving.


The Invoicing Information you have just uploaded will be configured automatically as your first establishment

If your company has more than one establishment, you can add the others in the last part of the page, clicking on the "+":



Remember to write the code, address, name and trade name of the establishment.

You have also the possibility to enable/disable an establishment, in case you don't want to send invoices through Zak for it, with the related switch.



Taxes


In this page, you can add the value of the "Cargo por Servicio" (Service Charge).


The value will be in percentage and, if set, will be automatically calculated and added while creating a fiscal document.

General Settings


In this page you'll be able to configure your general settings, which will be used for any document.



Exactly, you can set up:

  • Header: you can freely write your header, which will be displayed in all documents you issue with this fiscal position. You must enter all the necessary data, such as company name, RUC number, address, contacts, etc.
  • Print Settings: adjust the print settings for the paper format, such as margins, font size, logo height and background color of the header.
  • Documents Type: here, by clicking on the pencil next to each document type, you can customize:

- Name: useful when choosing the document type to be issued.

- Short name: useful to identify the document type in the control panel.

- Prefix: it's displayed in the document before the number. You can create more prefixes to have several document series.

- Hide guests name on room description: enable this option if you want the guest name not be displayed in the document.

- Numeration do not restarts annually: by default, numeration restarts from zero every new year. Enable this option if you don't want this.

  • Notes: here you can configure one or more notes to be used for your documents. This way, when issuing documents, you can quickly select one of the notes already created. It will be shown at the bottom of the document.
  • Footers: likewise, here you can configure one or more footers for your documents. When issuing documents, you'll be able to choose one of the already created footers. It will be shown at the bottom of the invoice, in a central position.


By following these few simple steps, you will have set up your fiscal position and you can now start issuing documents!
